Saba Grocers is a fiscally-sponsored grassroots initiative of corner store owners in Oakland
founded in 2019 through Oakland’s Soda Tax. Saba’s mission is to shift liquor stores to
community stores by increasing produce inventory and healthy products on the shelf of small
businesses. The majority of our participating stores are located in East and West Oakland. We
coordinate a Collective Purchasing Agreement and weekly distribution service for produce, and
work with California farmers (87 percent of which are BIPOC) to source produce for
institutional buyers and corner stores. Our annual budget is $3.3M, and we tender daily
transactions across various vendors. This position will be the lead in managing the Saba office
location This position reports directly to the Executive Director.

Position Summary:
The role of the Office Manager with some AP/AR experience to manage Saba’s Office and the
month/year-end close procedures and reconciliation of payable accounts. Our Office Manager
will also play a crucial role in the collection of monies from our diversified sales and will have a
direct impact on the consistent and prompt collection from vendors as we grow. Preparation of
tax records for financial audits. We use a centralized business technology called Odoo (an ERP
system) which centralizes our accounting and payment processes along with all other company
activities. This role will be responsible for managing and maintaining the accounting processes
and records in Odoo. We are looking for a passionate, growth-oriented Office Manger to
represent Saba and who has a strong track record in accounting to join our team and work
alongside our accounting and fiscal sponsors team.

Responsibilities:

Office Manager responsibilities
● Facilitates contractors in maintenance of office equipment including cleaning, maintenance, and
repairs.
● Provides clerical support when needed to assist staff with assigned administrative duties such as
sorting and distributing mail, and preparing documents, invoicing, and data entry.
● Maintains inventory of office supplies; orders new supplies as needed.
● Maintains office files; implements an efficient system for other staff to access files and records.
● Keep track of bills from vendors in Odoo
● Complete Credit Card reconciliation duties
● Manage accounting processes and services in Odoo
● Invoicing customers
● Keep track of money owed/collections within Odoo
● Set up systems for grant expense tracking
● Liaison between Saba and HR Consultants
● Facilitate/ coordinate team building activities
● Manage a small office budget
● Support the growth of Saba with tasks as necessary

Other on-time responsibilities:
● Work with fiscal sponsors to transition the organization into independent non-profit
status.

This includes:
● Negotiate lease agreements / terms
● Coordinate / notify vendors on entity transition
● Opening new bank accounts and credit card accounts
● Support the transition with other tasks as necessary

Required Qualifications:
● 3-5 years Office Manager experience
● Must have 5 + years experience with any accounting platform and AP/AR
● Bookkeeping experience a plus
● Odoo experience a plus
● Grant invoicing experience
● Experience working with nonprofits/grants highly preferred
● Excellent written and verbal communication skills
● High attention to detail and organization
● Strong independent research ability
● Personable and people friendly with the ability to build staff relationships and
contribute to a positive work environment
● Ability to design and set structures in a new and growing organization
● Creative thinker and independent worker
● Prolonged sitting at a desk and computer
● Must be able to lift 15lbs.

Education and Experience:

Bachelor’s degree in relevant field and at least five years of professional experience in Office Management, Accounts Payable, Accounts Receivable.

Salary and Benefits:
The salary range for this position is $65,000 – $75,000 per year, commensurate with
experience. Benefit eligible
